What is eParousilogio?

eParousilogio is a web application for organizing attendance, absences and staff leave. Instead of scattered files and message exchanges, HR and team leaders see the monthly plan, pending requests and the availability picture in the same environment. The application is aimed at businesses with many employees, departments or locations, where scheduling a leave affects day-to-day operations. Access to the live environment is only for authorized users. The goal is not simply to store more data, but to reduce the time it takes to find the right information. When the request, the decision, the balance and the monthly report are in the same flow, HR can quickly spot what needs confirmation. Supervisors get a picture of availability before organizing shifts or meetings, while management sees a coherent overview. The application remains a decision-support tool: it does not replace human review, employment contracts or official entries in third-party systems.

01 · Monthly overview

A digital attendance register with an instant view of availability

In the monthly grid you see, per employee, entries for annual or sick leave, days off, remote work and business trips. The view switches month and can be filtered by employee or location, so you quickly find the information you need. Summary indicators show the month’s activity, while the annual leave balance appears next to the employee. That way scheduling does not rely on fragmentary notes.

  1. Submission: entry of a leave or remote work request.
  2. Decision: the responsible user approves or rejects.
  3. Correction: there is a correction or cancellation flow when needed.
  4. Update: the approved information is reflected in the attendance register.

An organized leave flow, not endless emails

eParousilogio brings requests and approvals together in a clear flow. Managers see what is pending, what was approved and what was rejected, with the option to correct or cancel. The application keeps a history of actions, so decisions are not lost in personal inboxes. The shared picture helps schedule leave and remote work with team availability in mind. The rules and final approvals remain the responsibility of the business.

Track leave and staffing with clarity

The employee record gathers basic organizational details such as department, location, working hours and employment status. The annual leave balance is shown in connection with the related entries and its changes. For operational planning there are staffing rules per location or department, such as a maximum number of simultaneous absences and minimum notice. Notifications highlight points that need attention before the team’s operations are affected.

What management sees

  • Who is available per day and location.
  • Which leave requests are pending or approved.
  • What annual leave balance remains.
  • When a staffing rule needs review.

Collaboration without ambiguity

The company calendar, notifications and change history create a shared point of reference for HR, supervisors and management. Users and roles organize access to the application. Managing staff and leave remains a business process; the tool makes recording and review easier.

Calendar, notifications and change history

The application includes a company calendar for events that affect scheduling. The notifications screen gathers pending decisions, rule conflicts and other points that require action. The change history supports internal review, while user roles separate responsibilities. That way the attendance register becomes a working collaboration tool and not just a record of entries.

05 · Reports

eParousilogio: Excel and PDF export for HR and accounting

Monthly reports give a consolidated picture of employees with entries, annual leave days, remote work and total absences. Filters by employee, location, department and entry type help with targeted searching. The application offers export to Excel and PDF for processing, archiving and collaboration with the relevant staff. There is also a month-lock option: once the period is finalized, new changes are prevented unless they go through a controlled process. The report supports internal review; it does not replace payroll, accounting verification or the business’s obligations.

Practical reporting flow

  1. Choose the month and the filters you are interested in.
  2. Review the consolidated picture and the entries.
  3. Export to Excel or PDF.
  4. Lock the month when the review is complete.

Preparing data for ERGANI – with clear limits

eParousilogio includes a ERGANI settings screen for employer details, branches and mapping of leave types to official codes. This infrastructure helps organize the data that will be needed if a related integration is activated in the future.

Currently the application does not submit anything electronically to ERGANI. It also does not include a Digital Work Card. For official procedures, the services of the competent authority apply, together with the guidance on ERGANI II at 1555.gov.gr. In a Demo presentation we can explain what is available now and which technical prerequisites would be needed for a real integration.

Important clarification

Entering or preparing data inside the attendance register is not equivalent to an official submission to ERGANI. The business’s obligations are confirmed by the official system and the competent professionals.

How the digital attendance register works in practice

The value of eParousilogio is that it joins daily scheduling with the approval process and the monthly report.

01
EntryYou create the request or the entry for the employee.
02
ReviewYou see the balance, availability and any restrictions.
03
DecisionThe responsible person approves, rejects or requests a correction.
04
ReportThe monthly picture is updated and exported when needed.

Practical scenarios

7 ways eParousilogio helps with everyday organization

A digital attendance register has value when it solves common team problems, not only when it collects entries. In eParousilogio, the examples below show how the functions available today can be used. The final leave policy, approvals and legal obligations remain the responsibility of the business.

1. Scheduling leave across multiple locations

When a company has teams in different offices, supervisors need a picture for each location and for the month as a whole. The filtered view helps identify approved absences and discuss new requests before a staffing gap appears. Minimum-availability rules can highlight a potential problem for human review. The tool does not decide on its own who is entitled to leave; it offers a shared picture for a well-founded decision.

2. Timely handling of pending requests

A request left in an email or a verbal agreement is easy to lose. In eParousilogio, submission, approval or rejection and later correction follow a recognizable flow. The person in charge can see what is pending and which action came before. This reduces ambiguity between employee, supervisor and HR, without replacing the company’s internal policy or the judgment of the responsible staff member.

3. Visibility for remote work and days off

A team’s availability is not only about annual leave. The monthly view also includes remote work, days off and other entries, so colleagues know who is out of the office and on which day. With correct entries, a meeting or a service need can be scheduled with fewer clarifying calls. The application organizes the information, while how it is used is determined by the business’s procedures and access rights.

4. Checking balances before a new leave

The annual leave balance is shown together with the related movements, so the responsible person has a practical reference when reviewing a new request. If an entry needs to change, the ability to correct or cancel it and the history help keep its path clear. This data should be checked against the business’s official records, especially when it relates to payroll or legal obligations.

5. HR and supervisors working together

Different users do not all need the same view or the same actions. Roles and the organization of staff into departments allow a cleaner division of work: who monitors the schedule, who reviews a request and who checks the reports. Real access requires login. In a Demo presentation we can show the available structure and discuss how it maps to your own team’s responsibilities, without exposing staff data publicly.

6. Closing the month with a controlled report

At the end of the period, filters and monthly reports give a consolidated picture of leave, remote work and absences. HR can export the result to Excel for further processing or to PDF for archiving and distribution to the appropriate internal recipients. The month-lock option helps finalize the picture after review. Export does not mean automatic integration with payroll or submission to a government system.

7. Internal documentation of changes

When you need to explain why an entry changed, the action history and notifications provide context for internal review. That avoids searching through many files or personal messages. This function is especially useful in an environment with several managers, where decisions are made on different days. It is not legal documentation by itself; the organization still maintains the procedures and official documents required.

From request to report

How information flows through the digital attendance register

eParousilogio connects different everyday needs into one sequence. An entry gains value when the right person can see it, review it and include it in the correct monthly picture. This is why the application has separate sections for staff, requests, calendar, notifications and reports, instead of a simple table with colored cells.

Before the decision

The user starts from the relevant request or entry and selects the appropriate type of absence or work. The responsible person sees the period, the available balance where applicable, and the team picture for the same month. If there is a staffing restriction, the information works as a warning for review and not as an automatic final judgment. That way the decision can be made with operational data and with respect for the rules that apply to the specific employer.

After approval

The approved information becomes part of the monthly schedule and is available to users with the relevant access. If a request changes, the correction or cancellation follows the available flow, so contradictory entries do not remain in different files. The company calendar and notifications help managers keep a shared picture of events and pending items. The history provides a useful trail for internal collaboration.

At the end of the month

Before an export, it is worth reviewing the open requests, the changes and the periods that affect the overall report. Filters allow searching by employee, location, department or entry type. The report can be exported to Excel or PDF, depending on whether further processing or a fixed format for sharing matters more. The month can then be locked, once the business completes the necessary checks. None of these actions replaces an official submission to ERGANI or a payroll check.

Who it suits

  • Businesses with many teams, departments or locations.
  • HR teams managing requests and leave balances.
  • Management that needs a consolidated picture of availability.
  • Supervisors who approve absences and plan staffing.
  • Accounting departments that need reviewed monthly reports.

A specialized implementation, not a generic template

The structure of eParousilogio shows how an application can be adapted to an organization’s everyday processes. In a video call we will discuss which flows are already available and how they could cover your own team. See also GEMI Radar, a different business data application that we present at Novatempus. To judge whether the application suits your business, first compare today’s flow: how a leave is declared, who approves, where the balance is checked and which file is used at the end of the month. These four questions help identify the points that benefit most from a shared digital process.

Questions about eParousilogio

What does the digital attendance register record?

The monthly view shows entries such as annual and sick leave, days off, remote work and business trips. Visibility depends on the role and the available data.

Can leave be submitted and approved?

Yes. There is a request flow with submission, approval or rejection, as well as the ability to correct or cancel with a history.

Can the attendance register be exported to Excel?

Yes. Monthly reports have an option to export to Excel and PDF, with filters for employee, location, department and entry type.

Does the application send leave to ERGANI automatically?

No. The current ERGANI section is about preparing data and mappings. There is no electronic submission and the Digital Work Card is not supported.

Who has access to staff data?

The real application requires login and has users and roles. This public page does not show employee data.

How can I see a Demo?

Book a video call with Novatempus. The available functions will be presented and the needs of your own business will be discussed.

Does the attendance register work for more than one team?

The application organizes employees with details such as department and location and offers filters in the monthly view and in the reports. This helps a manager examine the availability of a specific team without losing the overall picture. Staffing rules can be discussed according to the actual organizational structure. In the Demo we will see how the available options are reflected and what configuration is needed before production use.

How are pending approvals tracked?

The requests section shows the status of each request and the actions that follow, while notifications gather points that need attention. That way the responsible person does not have to rely solely on email. A digital flow does not mean approval happens automatically: the business defines who reviews and decides according to its policy.

Can an entry that has changed be corrected?

Yes, the application includes correction and cancellation procedures for relevant requests, as well as an action history. A change must be reviewed by the appropriate user, especially when the month has already been finalized. The period-lock option helps prevent uncontrolled changes after closing. In the Demo we can show the flow and discuss which internal review steps suit your own process.

Is the Excel export automatically linked to payroll?

No. Excel and PDF are available export formats for monthly reports. The export makes review, archiving and collaboration with accounting or HR easier, but it is not an automatic connection to a payroll program. If a special integration or file format is needed, the specifications of the other system must first be assessed and the implementation agreed separately.

Can existing attendance files be migrated?

The public presentation does not promise a ready-made automatic import from any file. Existing spreadsheets may have a different structure, leave coding and data quality. To assess a migration, a representative, suitably anonymized sample must first be reviewed and the necessary mappings defined. In the meeting we can discuss the technical options without asking for real employee data on the public page.

What will we see in the Demo video call?

The presentation can cover the monthly view, leave requests, approval, balances, notifications and report export. We will explain which function already exists and which requirement would need additional analysis. It is useful to know in advance how many teams or locations you have and who approves leave today. You do not need to share employee names or confidential files for an initial discussion.
